Role
Act as point of contact for Public Tender activities
Proactively review specific tendering platforms daily to identify new tenders and distribute them to the relevant teams
Receive daily emails from external providers about new tenders, review them, and distribute the relevant tenders to the appropriate teams
Download tender documents from various platforms upon request and forward them to the teams
Review tender documents and compile the necessary paperwork, both for internal project team and for potential partners/sub-contractors
Collect and organize other essential tender documents (such as administrative/financial records, CVs, references, etc.) according to tender specifications
Handle notifications for tenders where documents have been downloaded
Ensure tender documents are complete and accurate, with all required paperwork signed off before uploading to the specified platform
Upload final tender documentation on the dedicated platforms, while respecting the deadline
Save proof of submitted offers and send it to the project teams
Informs the project teams about the new requests/tender result
Monitors tenders in a centralized database system and a shared Excel file
Register projects as Leads/Opportunities/Contracts in CRM and keep the database updated as needed
Assist in preparing the weekly pipeline report, attend project team calls, and prepare meeting minutes
Collaborate closely with internal clients to understand and meet their requirements and deadlines
Profile
Bachelor's degree
Fluent in German and English
Up to 2 years of experience in supporting public tenders, contract management or managing various administrative tasks through a comprehensive end-to-end process
Proficiency in Microsoft Office tools (PPT and Excel mandatory advanced)
Focused on precision and attention to detail, with strong analytical skills that enable the collection, organization, analysis, and distribution of information
Proactive attitude, excellent communication skills (both verbal and written) and strong orientation toward solving problems
Ability to work with high responsiveness, both in a team environment and independently.
Team player with a strong customer service orientation
